    Paper Preparation Guidelines

The editorial board of ICALEPCS2003 Proceedings has decided to follow guidelines set by the Joint Accelerator Conference Website (JACoW) for the format of papers. Important points are summarized here, but we recommend that authors visit the JACoW web site for further details about the preparation of papers.

Please read all instructions on this page before proceeding with paper submission.

 
General Instructions
  1. Download an empty Microsoft Word or LaTeX template in the desired format below. Sample articles are also provided, for reference.

  2. Fill in the template with your text and figures. These templates were assembled at the JACoW Particle Accelerator Conferences web site in order to make the proceedings publication consistent and timely. Please do not alter them in any way.
    • Please do not add a style file to the LaTeX template.
    • Please do not add or delete anything from the Styles menu in the Word template.

  3. Contributed papers may be up to 3 pages long and invited papers up to 5 pages. Since the proceedings will be published in book form, it is necessary to respect these limits.

General Layout
Papers should be single-sided and have the following dimensions:
  • Page size should be either A4 (21.0 cm x 29.7 cm; 8.27 in x 11.69 in)
    or US letter size (21.6 cm x 27.9 cm; 8.5 in x 11.0 in).
  • Single-spaced text in two columns of 82.5 mm (3.25 in.) with 5.3 mm (0.2 in.) separation.

Fonts

Use only Times (in roman, bold or italic), Symbol and Zapf Dingbats. All papers should use 10 point fonts for the normal text.

Title

Use 14 point bold uppercase text for the title, and center it on the page.

Figures and Tables

Place figures and tables as close as possible to the place of their mention. Lettering in figures and tables should be large enough to reproduce clearly, using only the approved fonts. Use of non-approved fonts in figures often leads to problems when the files are processed and may even cause loss of information.

All figures and tables must be given sequential numbers (1, 2, 3, etc.) and have a caption placed below the figure or above the table being described.

If a displayed equation needs a number, place it flush with the right margin of the column.

Formatting for Figures

Figures for a submission can be in the following common formats:

  • PostScript (most common, for line drawings, plots, etc.)
  • JPEG (ideal for photographic images)
  • PNG (best for non-photographic images (bitmaps) such as 3D plots, Color Contour Plots, Screen shots)
  • GIF (ok for non-photographic images, PNG is better)

We do not accept graphics in other file formats. If you have a figure in another format, please convert it to one of the above file formats before submitting it.

Please try to reduce the size of your image files. If your submission has a large figure, be sure to include it, but make all possible efforts to reduce its size. Some information on optimizing figures for file size can be found here.

References
All bibliographical references should be numbered and listed at the end of the paper in a section called "REFERENCES". When referring to a reference in the text, place the corresponding reference number in square brackets. See the sample paper for a typical example.

Acronyms

Acronyms should be defined the first time they appear.

Page Numbers
DO NOT include page numbers. They will be added by the editing team when they produce the final proceedings.
